Overview of the Facilities Manager

Our Operations Team keeps 36 Degrees North running smoothly: from being the first point of contact for our members and their guests, connecting them with the workspace, community, and resources they need to reach their next level, to ensuring that every aspect of the facility and our systems are operating flawlessly. The Operations Team provides a friendly, welcoming experience from the moment anyone enters the door. They execute events, support all other departments, create moments of delight and surprise for our members, answer questions, troubleshoot issues, and respond quickly and calmly, no matter the situation.

Our Facilities Manager oversees all aspects of the facility and supports the Director of Operations in the day-to-day operations in our newly renovated 112,000 sq ft innovation hub, equipped with 155 offices, 8 open-desking areas, 3 single restrooms (2 of which have showers), 10 multi-stall restrooms of 4 stalls each, a reception area, a 300-person event space, 27 conference rooms of varying sizes, 5 kitchenettes, a large greenspace and parking lot, and an onsite restaurant. The Facilities Manager manages the building inside and the immediate surroundings to ensure all member-facing and behind-the-scenes aspects of the space are functional, compliant, and cost-effective.

The ideal candidate will be well-organized and able to optimize the use of space and equipment while reducing operating costs.

Responsibilities of the Facilities Manager

Proactive & Responsive Building Management

  • Perform semi-skilled and skilled facilities maintenance work involving carpentry, plumbing, and electrical repairs and maintenance.
  • Clean, maintain and repair building fixtures and equipment including locks, windows, doors, carpet, shades, roof drains, shelving and furniture.
  • Make minor repairs to roofs, brick, asphalt, plaster and concrete.
  • Paint walls and/or equipment and make minor painting repairs.
  • Make simple furniture, cabinet, and tile repairs.
  • Replace light bulbs and tubes and repair/replace ballasts.
  • Replace HVAC filters and perform minor maintenance to HVAC units.
  • Repair plumbing fixtures, unclog drains and maintain plumbing systems.
  • Support janitorial needs during daytime hours including but not limited to: refilling soap dispensers, paper towels, and toilet paper in restrooms, cleaning up spills, emptying overflowing trash cans
  • Oversee/perform grounds maintenance:
    • maintain greenspace including lawn watering and mowing
    • water outdoor plants, trees, and shrubs
    • powerwash the dock, dumpster enclosure, and back parking lot as needed
    • keep the area around the building clean and free of litter or spills
  • Report potential safety problems related to the facility, clean up spills and unsafe conditions as identified.
  • Prepare facilities for changing weather conditions

Equipment and Furniture Management

  • Coordinate equipment and furniture movements including but not limited to office and location furniture, event furniture, and equipment. Ensure that all setups meet required specifications and timelines.
  • Organize and maintain back-of-house furniture storage areas, ensuring member and event-related items and equipment are properly stored and easily accessible.
  • Inventory Maintenance: Maintain an accurate inventory of furniture, equipment, and supplies, conducting regular checks to ensure all items are accounted for and in good condition.
  • Develop and enforce safety protocols for lifting and moving furniture, providing staff with proper training and equipment to minimize the risk of injury. Ensure adherence to safety standards at all times.

Member Support

  • Create and execute work orders using the Building Maintenance system, prepare reports on work performed.
  • Promptly utilize the facilities maintenance help desk system and respond to, follow-up on, and complete requests.
  • Use tact and diplomacy in all interactions with customers.
  • Promote a positive 36°N image by maintaining excellent internal and external customer relations.
  • Track and report on repair and maintenance activities; complete and maintain a variety of records.
  • Maintain accurate key counts, inventory, and records

Contractor Management

  • Conduct quality-control space walkthroughs and schedule/execute solutions for any issues that arise, communicating any major issues to the Director of Operations
  • Review janitorial service daily to ensure delivery of quality work as promised, and communicate any issues with janitorial contractor in line with expectations set by the Director of Operations.
  • Make field inspections and review work-in-progress; identify and resolve issues with outside contractors, referring to the Director of Operations as needed.
  • Schedule and oversee preventative maintenance on facility systems and equipment including but not limited to: HVAC systems; plumbing systems; electrical systems; power generators; exhaust systems; irrigation systems; elevator operations systems and building structures including roofs, gutters, doors, drywall, flooring and painting.
  • Schedule and be present for building inspections, fire extinguisher inspections, etc.
  • Be the first point of contact for any emergency situations or alarms after hours

Team Support

  • Support the Director of Operations for any other facility and vendor needs when required
  • Assist with the preparation of specifications for contracts, quotes, proposals and publicly bid projects related to the service and repair of the facility.
  • Assists Director of Operations in budget preparation; prepares cost estimates; submits justifications for building maintenance activities, including capital improvement projects.
  • Coordinate with Operations Manager and other departments to identify maintenance needs; obtain information needed to define project scope and estimate time, labor, equipment and material needs.
  • Complete daily and weekly reports for the status of the building
  • Attend & actively participate in weekly Operations Team meetings
  • Build and maintain positive working relationships with coworkers, members, and the public using principles of good customer service.

This role reports to the Director of Operations.

Qualifications:

  • 5 years of experience in facility management or in a similar position
  • 3-5 years of experience in commercial mechanical systems, HVAC systems, and facility cost control maintenance.
  • Demonstrated knowledge of all building systems, including but not limited to architectural, mechanical, electrical, plumbing, structural, fire alarm and security.
  • Proficiency with repair tools and techniques
  • Great time management, organization and prioritization abilities
  • Keen attention to detail and efficient problem-solving skills
  • Ability to lift heavy equipment and comfortable standing or walking for long periods of time
  • Must know how to use Gmail, Google Docs, and macOS
  • Excellent communication and interpersonal skills, including the ability to speak with all levels of employees, guests, vendors and team members
  • You thrive in a fast-paced environment and can take initiative during down time
  • Exceptional organizational and multitasking skills

Compensation:

$60,000 annual salary
